How to Create More Capacity for Your HRIS Team

There’s a point at which managing a workforce management platform can quietly become a job in itself.

A payroll query comes in. A manager needs help. A policy changes. An acquisition introduces another set of contracts and ways of working. An integration needs attention.

Individually, these requests may seem manageable. Across an organization, they add up. Before long, skilled HRIS professionals can find themselves spending more time on day-to-day demands than looking at what could work better.

So how do you create more capacity without simply adding more to the team?

Start by looking at where the time goes

Workforce management is complex because organizations are complex.

Different employee groups may operate under different contracts, policies and rules. Payroll requirements evolve, as do the systems connected to UKG.

Every query can require someone to understand which policy applies, how an employee is configured and what the impact could be elsewhere.

The first step is recognizing how much specialist time is being absorbed by this work — particularly when the same types of requests keep appearing.

Solve patterns, not just problems

Take payroll. When something isn’t right upstream, it can create a chain of additional work: an employee raises a query, payroll investigates, HRIS checks the configuration or integration, and the issue is corrected.

But if it happens again next month, have we really solved it?

Repeated requests can tell us where there may be an opportunity to improve. Could the configuration be adjusted? Is additional training needed? Could greater visibility help employees or managers identify discrepancies earlier?

Resolving today’s issue matters. Reducing the likelihood of tomorrow’s is where you begin to create capacity.

Your internal team doesn’t have to do everything

There will always be day-to-day work involved in managing a workforce management platform. But that doesn’t mean every request, configuration challenge or recurring issue has to sit with the internal HRIS team.
